Terms:
‘Clinic/Premises’ - Place of trading.
‘We, ‘Us’, ‘Derma Aesthetics Limited’ - Derma Aesthetics Limited
‘Staff’. ‘Practitioner’, ‘Aesthetic Practitioner’ - Person’s employed or working on behalf of ‘Derma Aesthetics Limited’.
‘Receipt’s’, ‘Invoices’ - Proof of sale, document outlining monies due to ‘Derma Aesthetics Limited’.
Service & Treatment
Our focus is to ensure we provide an honest and outstanding service to our customer’s/clients. Whilst we strictly ensure our treatments are being administered by appropriately qualified Practitioners, we cannot guarantee any form of result/expectations. As a result, we cannot offer refunds in part, full or be held liable if the results have failed to meet your expectations or due to any complications.
Consultation
Prior to the commencement of any treatment/service, the Practitioner will have a 1-1 consultation with the customer/client to determine suitability and the desired result for the treatment/service.
Bookings / Appointments
In order to secure a booking, customer’s/clients will either be sent a link to pay a deposit. The deposit may be paid when booking an appointment via our booking system. This deposit is non-refundable once paid. If the customer/client needs to amend their appointment, we request that we are notified as soon as possible without delay. It is solely the discretion of ‘Derma Aesthetics Limited’ to reimburse the customer/client of their deposit if they wish to change/cancel their appointment. When a deposit is paid to secure a booking, this is deducted from the final total when paying for any treatment/service. If for any reason the treatment/service is rejected by us after consultation, we may refund the cost of the deposit in part/full. Derma Aesthetics reserves the right to cancel an appointment at any time without notice.
Lateness / No show
We request that the customer/client is on time to their appointment. Arriving late to a pre-booked appointment may result in the deposit being retained by us. If a customer/client is running late to the clinic for their appointment, we humbly request that the client/customer inform us of this. Where possible, we will endeavour to amend the booking time/date without this effecting the deposit. However, this is not guaranteed.
If a client/customer does not show for their booking or refuses treatment, the deposit will be not be refunded. In instances of repeated no show’s or refusal of treatment, ‘Derma Aesthetics Limited’ reserves the right to refuse future bookings/services/treatments.
Consent Forms
Consent and/or any other forms must be completed and signed by the customer/client for every treatment prior to the commencement of the treatment. This may be presented to you prior to the commencement of the treatment or via email after the deposit has been paid and the booking is confirmed.
Refusal to complete/sign the consent form will result in the treatment/service being refused by the Practitioner and the deposit will not be refunded.
If the forms have been sent to the patient prior to the appointment, it is imperative that the patient completes the forms prior to the appointment, failure to do so may result in lost treatment time or the appointment being cancelled or refused.
Aftercare / Post Treatment
Once a treatment has been concluded. The customer/client may receive a document by paper and/or email underlying the precautions and other important information that must be adhered to.
If a client/customer is not satisfied with their treatment/service received, we kindly request that the customer/client contacts us as soon as possible to discuss their options.
In the event of any severe reactions that occur post treatment, the customer/client must seek immediate medical attention and then inform us of this as soon as possible.
Accompanying persons & pets
Any accompanying individuals must be reported to Derma Aesthetics Limited at the time of booking an appointment. Individuals accompanying patient’s under the age of 18 must remain in the reception area under the care of another adult authorised by the patient. If this is not possible, the accompanying individual(s) under the age of 18 must remain with the patient in the treatment room under the care, supervision and responsibility of the patient. Derma Aesthetics Limited reserves the right to refuse entry to any accompanying individuals of any age. This may be for the following reasons: Insufficient staff, disruptive individuals, the Practitioner believes the accompanying individuals may or have been disruptive or the Practitioner does not intend to administer the treatment/procedure for safety, health and/or security purposes. If a treatment/procedure is refused for any of the mentioned reasons, Derma Aesthetics Limited reserves the right to retain the paid deposit. Pets are not permitted on our premises.
Personal Belongings / Jewellery
For certain treatments, it may be required for the customer/client to remove any personal belongings or jewellery from their person. A container will be provided to the customer/client to store them in. Upon completion of the treatment/service the container will be presented to the customer/client to remove their personal belongings or jewellery. The practitioner will not touch the items directly and ‘Derma Aesthetics Limited’ is not responsible for any loss or damage of such belongings.
Payment / Finance
Customer’s/clients will be sent a link to pay a deposit. This may be paid when booking an appointment via our booking system. This deposit is non-refundable once paid. When a deposit is paid to secure a booking, this is deducted from the final total when paying for any treatment/service. Upon completion of treatment/service, the customer/client will be required to pay for the treatment in full by one of our accepted card payment methods or cash. Any discounts/deductions will be reflected on the final receipt/invoice.
If agreed by ‘Derma Aesthetics Limited’, we may offer a payment service to pay in instalment’s/direct debit. The rates, payment frequency and deposit will need to be agreed and ‘Derma Aesthetics Limited’ reserves the right to decline this service to any customer/client.
Currency must be of country of treatment/service in the form of legal tender.

We use your personal data to book appointments, accept deposits/payments, form a profile, use your medical history/information to determine the suitability of each treatment, for contact purposes and to comply with any insurance requirements.
We only collect data that is necessary in order to administer our services/treatments or as required by Derma Aesthetics. Your personal data is only held for as long as necessary by us or as required by third parties (where involved) and insurance purposes.
We may share your personal data if required by law to comply with legal obligations to which Derma Aesthetics is subject to.

Your personal data may be shared for the following purposes
Within Derma Aesthetics in order to fulfil our services
Any third party provider’s used by Derma Aesthetics to process/retain data on our behalf
Payment providers - To take payment or set up a direct debit/instalments
With prescribing practitioners (i.e. Prescribing Doctor’s Nurses and Pharmacist’s for the administration of prescription treatments
Storing your personal data
Your personal information may be stored and processed outside of the country where it is collected, including outside of the United Kingdom or the European Economic Area. When transferring information to others, within the UK, the EEA or otherwise, we ensure that appropriate and suitable safeguards and technical measures are in place to protect your personal data. To do this, we make use of standard contractual clauses that have been approved by the UK authorities and the European Commission with our suppliers, or we implement other similar measures required by laws around the world.
We will only keep records of your personal information for as long as is reasonably necessary for the purposes for which we have collected it, and in order to comply with any statutory or regulatory obligations in relation to retention of records. We respect requests to stop processing your personal data for marketing purposes. This includes keeping a record of your request indefinitely so that we can respect your request in the future.
Your personal data will be stored on a cloud based system owned by us or a third party. Any paper documentation containing personal information will be uploaded and the paper version destroyed.
Your Rights
You have the right to request access to and rectification or erasure of personal information, the right to restrict processing of your personal information and the right to object to processing of your personal information.
If you request to restrict processing of your personal data. This will likely effect the services/treatments we can provide.
You have the right to object to your personal information being processed on the grounds of Derma Aesthetics’s legitimate interests. You have the right to object to us sending you direct marketing and profiling you for the purposes of direct marketing. You have the right to lodge a complaint regarding our processing of your personal information with a data protection supervisory authority in a country where you live, work, or where you believe a breach may have occurred.
General Data Protection Regulation (GDPR) provides you with the right to request/obtain information held/stored about you. Requests must be made by email to Info@derma-aestheticsclinic.co.uk. Such requests will be subject to identification checks/verification in order to protect the information/data we release.
We will not charge for the first copy of your record. We may charge an administrative fee for all subsequent copies of the same record.
As stated by the ICO, we will respond to any requests as such within one month of receipt of the request. We may extend the request by a further two months if the request is complex or if we receive a number of requests from you.
